Terms & Conditions
By accessing www.travelgliders.us or placing a booking through TravelGliders, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety. If you do not agree, you must immediately discontinue use of this website and our services.
1. INTRODUCTION AND SCOPE
These Terms and Conditions (hereinafter referred to as the "Agreement," "Terms," or "T&C") constitute a legally binding contract between you, the user, client, or traveler (hereinafter "Client," "You," or "Your"), and TravelGliders (hereinafter "TravelGliders," "We," "Us," or "Our"), the independent travel agency operating the website located at www.travelgliders.us.
1.1 About TravelGliders
TravelGliders is an independent, privately held travel agency duly organized and operating under the laws of the United States. TravelGliders acts exclusively in the capacity of a travel intermediary — facilitating reservations and bookings on behalf of its Clients with third-party travel suppliers including, but not limited to, airlines, cruise lines, hotels, resorts, car rental companies, ground transportation providers, tour operators, and travel insurance providers.
1.2 Independent Agency Status — Airline Non-Affiliation Disclosure
IMPORTANT DISCLOSURE: TravelGliders is an INDEPENDENT travel agency. TravelGliders is NOT owned by, affiliated with, endorsed by, sponsored by, or operated on behalf of any airline, airline alliance, airline holding company, or airline group of any nature whatsoever. TravelGliders does not act as an agent of any airline for purposes of binding that airline contractually. All airline bookings are made pursuant to the tariffs, conditions of carriage, and policies of the respective airline carrier.
TravelGliders's independence means:
- We are free to recommend travel products and services based solely on Client need and value — not on commercial relationships with any airline.
- We do not guarantee any airline's fares, schedules, availability, or operational continuity.
- We are not authorized to override, modify, or waive an airline's conditions of carriage, baggage policies, or refund rules.
- Our agency compensation (commission or service fee) is independent of and separate from any airline's tariff or pricing structure.
1.3 Acceptance of Terms
By using the TravelGliders website, submitting an inquiry, making a booking, or making payment toward any service, you conclusively agree to these Terms and Conditions. If you are booking on behalf of other travelers, you warrant that you are authorized by each such traveler to accept these Terms on their behalf and that you will communicate these Terms to them.
1.4 Age and Legal Capacity
You represent and warrant that: (a) you are at least eighteen (18) years of age; (b) you possess the full legal capacity and authority to enter into this Agreement; (c) if acting on behalf of a corporation or other legal entity, you are authorized to bind that entity; and (d) all information you provide is accurate, current, and complete.

2.2 Agency Relationship — Booking Agent Only
TravelGliders acts solely as a booking agent and intermediary. In this capacity:
- TravelGliders does not own, operate, manage, or control any aircraft, vessel, vehicle, hotel, resort, or other travel facility.
- TravelGliders is not a principal in any contract between the Client and any travel supplier. The ultimate contract of carriage or service is between the Client and the relevant supplier.
- TravelGliders does not provide or guarantee the services of any supplier; such services are provided directly by the respective supplier under that supplier's own terms and conditions.
- Acceptance by TravelGliders of a booking request does not guarantee confirmation by the underlying supplier. All bookings are subject to the supplier's availability and acceptance.
2.3 Dual Contractual Framework
When you make a booking through TravelGliders, two separate legal relationships are created: (1) a service agreement between you and TravelGliders governed by these Terms; and (2) a separate contract of carriage or service agreement between you and the travel supplier. TravelGliders is not a party to, and accepts no responsibility under, the second agreement.
3. BOOKING PROCEDURES AND PAYMENT TERMS
3.1 Booking Requests
All booking requests must be submitted through an authorized channel: (a) the TravelGliders website at www.travelgliders.us; (b) by telephone to a TravelGliders advisor; or (c) by written electronic communication (email) to a designated TravelGliders representative. A booking request constitutes an offer and is not confirmed until TravelGliders issues a written confirmation to the Client.
3.2 Payment Schedule
Payments are required in accordance with the schedule below. Specific payment deadlines for any booking will be communicated in writing at the time of confirmation.
| Payment Stage | Amount Due | Due Date | Consequence of Non-Payment |
|---|---|---|---|
| Deposit | As specified in booking confirmation (typically 25%–50% of total) | Within 48 hours of booking acceptance | Booking held provisionally; not guaranteed |
| Final Payment | Remaining balance | As stated in confirmation (typically 60–90 days prior to departure) | Automatic cancellation; cancellation penalties apply |
| Service Fees | As itemized in booking summary | Due at time of booking | Service cannot be rendered |
| Last-Minute Bookings (< 30 days) | 100% of total cost | At time of booking | Booking not accepted |
3.3 Accepted Payment Methods
TravelGliders accepts the following forms of payment, subject to any processing fees that may apply:
- Major credit cards (Visa, MasterCard, American Express, Discover)
- Electronic funds transfer (ACH / wire transfer)
- Certified check or money order
- Third-party payment processors as designated by TravelGliders from time to time
Note: Personal checks are accepted only for bookings placed more than 90 days before departure. TravelGliders does not accept cash, cryptocurrency, or prepaid debit cards for international transactions.
3.4 Currency and Pricing
All prices quoted by TravelGliders are in United States Dollars (USD) unless expressly stated otherwise. Prices are subject to change until a booking is formally confirmed and full payment is received. TravelGliders reserves the right to pass on to the Client any increases in supplier prices, fuel surcharges, government taxes, or currency exchange rate fluctuations that occur prior to confirmation of full payment.
3.5 Service Fees
TravelGliders charges the following non-refundable service fees, which are separate from supplier costs and represent compensation for TravelGliders's professional services:
- Consultation and itinerary planning fee: as quoted per booking
- Booking processing fee: as quoted per booking
- Post-booking modification fee: applicable per change request
- Reissuance or document delivery fee: applicable per occurrence
All TravelGliders service fees are non-refundable once incurred, regardless of whether the underlying booking is subsequently cancelled or modified, unless cancellation is attributable solely to TravelGliders error.
3.6 Chargebacks and Disputes
You agree that any payment dispute shall be directed first to TravelGliders in writing before initiating any chargeback or dispute with your card issuer or financial institution. Initiating a chargeback without first seeking resolution from TravelGliders in good faith may constitute a breach of this Agreement and may expose you to liability for TravelGliders's costs of defending such chargeback, including reasonable attorney's fees.
4. CANCELLATION, MODIFICATIONS, AND REFUNDS
4.1 Client-Initiated Cancellations
All cancellation requests must be submitted in writing (email to the assigned advisor) and shall be effective upon TravelGliders's written acknowledgment. The following general cancellation schedule applies, subject to the specific policies of the relevant suppliers, which shall prevail:
| Days Before Departure Type | TravelGliders Cancellation Fee | Supplier Charges (Additional) |
|---|---|---|
| 90+ days | Non-refundable service fee only | Per supplier policy (may be nil) |
| 60–89 days | Non-refundable service fee + 25% of TravelGliders fees | Per supplier policy |
| 30–59 days | Non-refundable service fee + 50% of TravelGliders fees | Per supplier policy (often 50–100%) |
| < 30 days | Non-refundable service fee + 100% of TravelGliders fees | Per supplier policy (typically 100%) |
| No-show | 100% — no refund | 100% — no refund |
The above is a general framework. Specific cancellation terms for airline tickets, cruise bookings, non-refundable hotel rates, and tour packages may be substantially more restrictive. The applicable supplier terms will be communicated at time of booking.
4.2 Airline Ticket Cancellations — Specific Rules
Airline ticket refund eligibility is governed exclusively by the issuing airline's fare rules and conditions of carriage. TravelGliders summarizes common airline cancellation rules below for information purposes only; these do not constitute a guarantee:
- Non-refundable fares: Cancellation generally results in the forfeiture of all amounts paid. A travel credit may be available at the airline's discretion.
- Refundable fares: Subject to the airline's full refund policy; processing timelines vary by carrier.
- 24-Hour Cancellation Rule (U.S. DOT): For flights booked at least 7 days before departure, airlines operating in the U.S. must permit cancellation within 24 hours of booking for a full refund.
- Airline-initiated cancellations or significant schedule changes: Pursuant to U.S. DOT regulations (effective October 28, 2024), passengers are entitled to a full refund for airline-initiated cancellations or significant itinerary changes, including departure/arrival time changes of 3+ hours (domestic) or 6+ hours (international), departure airport changes, increases in connection points, class-of-service downgrades, and disability-impacting changes.
TravelGliders will facilitate airline refund requests on the Client's behalf but cannot guarantee the timeline or outcome of any refund processed by the airline.
4.3 Client-Requested Modifications
Requests to modify a confirmed booking (change of dates, passenger names, routing, accommodation class, or other material terms) are subject to:
- Supplier availability and the supplier's own change fee policies
- Any applicable fare difference between the original and revised booking
- TravelGliders's modification service fee as quoted per change
- Re-issuance of booking documents at the Client's expense
TravelGliders does not guarantee that any modification can be accommodated. Some fares and bookings are non-changeable.
4.4 Supplier-Initiated Changes
Suppliers may alter schedules, prices, routes, amenities, or cancel services at their sole discretion. TravelGliders shall use commercially reasonable efforts to notify the Client of any material supplier-initiated change. TravelGliders accepts no liability for supplier-initiated changes, cancellations, or operational decisions. The Client's remedies in such circumstances lie directly against the relevant supplier.
4.5 Force Majeure Events
TravelGliders and its suppliers shall not be liable for cancellations, delays, or modifications caused by events beyond reasonable control, including without limitation: acts of God; pandemics, epidemics, or public health emergencies declared by a competent authority; war, civil unrest, terrorism, or threats thereof; natural disasters; government travel advisories or entry restrictions; labor disputes or industrial action; or any other event of force majeure. No refund shall be due from TravelGliders for its service fees in such circumstances. Supplier refunds shall be governed by the respective supplier's force majeure policy.
4.6 No Refund for Unused Services
No refund, credit, or compensation shall be payable for any unused travel service, including unused hotel nights, unused flight segments, shore excursions not taken, or any other service not utilized by the Client, unless the relevant supplier's policy expressly provides for such refund.
5. TRAVEL INSURANCE
5.1 Strongly Recommended
TravelGliders strongly recommends that all Clients obtain comprehensive travel insurance covering, at minimum: trip cancellation and interruption; medical emergency and evacuation; baggage loss, delay, or damage; and travel delay. Travel insurance can protect Clients against financial loss arising from circumstances outside their control, including health emergencies, supplier bankruptcy, and natural disasters.
5.2 TravelGliders Is Not an Insurer
TravelGliders is not a licensed insurance company. Any travel insurance product offered, recommended, or facilitated by TravelGliders is provided by an independent, licensed third-party insurance carrier. TravelGliders accepts no responsibility for: the adequacy or suitability of any insurance product; claims decisions made by the insurer; delays in claims processing; or the financial solvency of the insurer.
5.3 Client's Responsibility to Review
The Client is solely responsible for carefully reviewing all insurance policy documents, declarations, exclusions, and limitations before purchase. Certain conditions, activities, or pre-existing medical conditions may be excluded from coverage. Questions about coverage should be directed to the insurance provider, not to TravelGliders.
5.4 Waiver of Insurance
If you decline travel insurance, you do so at your own risk. TravelGliders shall not be held liable for any financial loss, medical expense, or other cost that would have been covered by an insurance policy had one been obtained.
6. TRAVEL DOCUMENTATION, PASSPORTS, AND VISAS
6.1 Client's Sole Responsibility
It is the Client's sole and exclusive responsibility to ensure that all members of the traveling party hold valid, appropriate travel documentation for every destination, transit point, and return country on their itinerary. This responsibility cannot be delegated to TravelGliders.
6.2 Required Documentation
Required documentation typically includes, but is not limited to:
- Valid passport — recommended to be valid for at least six (6) months beyond the intended return date
- Visas — entry visas, transit visas, and electronic travel authorizations as required by destination countries
- ESTA or equivalent pre-clearance for returning U.S. residents
- Health documentation — vaccination records, health declarations, or COVID-19-related documentation as required
- Return or onward tickets as required by some countries
- Proof of sufficient funds for the duration of stay
- Minor travel authorizations and consent letters as applicable
6.3 Information Sources
Clients should consult the official websites of the U.S. Department of State (travel.state.gov), the U.S. Centers for Disease Control and Prevention (cdc.gov/travel), and the relevant embassy or consulate of each destination country for authoritative, up-to-date requirements. TravelGliders provides information as a courtesy only and does not warrant its completeness or current accuracy.
6.4 No Liability for Documentation Failures
TravelGliders accepts no liability whatsoever for any loss, cost, damage, or expense incurred as a result of: a Client's failure to hold or present required documentation; denial of boarding by any carrier; denial of entry by any immigration or customs authority; deportation; or quarantine. Any costs arising from such circumstances shall be borne entirely by the Client.
7. LIABILITY, DISCLAIMERS, AND LIMITATIONS
7.1 TravelGliders as Intermediary — Fundamental Limitation
Because TravelGliders acts exclusively as a booking intermediary and does not own, operate, or control any travel supplier or its facilities, TravelGliders's liability is fundamentally limited. The Client acknowledges and agrees that:
- TravelGliders has no operational control over suppliers and cannot ensure supplier performance.
- TravelGliders is not responsible for any supplier's breach of contract with the Client.
- TravelGliders's obligation is limited to exercising reasonable skill and care in selecting suppliers and communicating information.
7.2 Disclaimer of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, TRAVELGLIDERS HEREBY DISCLAIMS ALL LIABILITY, WHETHER BASED IN CONTRACT, TORT (INCLUDING NEGLIGENCE), STRICT LIABILITY, OR ANY OTHER LEGAL THEORY, FOR ANY LOSS, INJURY, DAMAGE, DELAY, INCONVENIENCE, OR EXPENSE OF ANY KIND ARISING OUT OF OR IN CONNECTION WITH: (A) ANY ACT, ERROR, OMISSION, NEGLIGENCE, WILLFUL MISCONDUCT, OR INSOLVENCY OF ANY TRAVEL SUPPLIER; (B) OVERBOOKING OF ANY ACCOMMODATION OR TRANSPORTATION; (C) ANY ACCIDENT, ILLNESS, DEATH, INJURY, LOSS, OR DAMAGE TO PERSONAL PROPERTY OCCURRING DURING TRAVEL; (D) ANY FORCE MAJEURE EVENT; (E) THE ACCURACY OR COMPLETENESS OF INFORMATION PROVIDED BY THIRD PARTIES; OR (F) ANY EVENT BEYOND TRAVELGLIDERS'S REASONABLE CONTROL.
7.3 Cap on TravelGliders Liability
In the event that TravelGliders is found liable for any claim notwithstanding the disclaimers set forth herein, TravelGliders's maximum aggregate liability to the Client shall not exceed the lesser of: (a) the total service fees paid by the Client to TravelGliders (excluding supplier payments) in connection with the relevant booking; or (b) USD $500.00. This cap applies regardless of the nature or number of claims.
7.4 Exclusion of Consequential Damages
In no event shall TravelGliders be liable for indirect, incidental, special, punitive, exemplary, or consequential damages, including but not limited to lost profits, loss of enjoyment, emotional distress, or loss of anticipated travel experience, even if TravelGliders has been advised of the possibility of such damages.
7.5 Airline Liability
Airline liability for passenger injury, death, and baggage is governed by applicable international conventions (including the Montreal Convention 1999 and the Warsaw Convention), U.S. federal aviation regulations, and each airline's conditions of carriage. TravelGliders has no authority to modify, expand, or restrict the liability rules applicable to any airline.
7.6 Health, Medical, and Special Needs
TravelGliders does not provide medical advice. Clients with medical conditions, disabilities, or special needs should consult appropriate healthcare professionals before travel and must disclose relevant needs to suppliers. TravelGliders will endeavor to communicate special needs to suppliers but does not guarantee accommodation of such needs by any supplier.
7.7 Travel Advisories
TravelGliders does not advise on security, political, or safety conditions at destinations. Clients should regularly consult the U.S. Department of State travel advisories and are solely responsible for their decisions to travel to any destination. TravelGliders accepts no liability for any harm arising from travel to a destination that is or becomes subject to a travel advisory.
8. CLIENT RESPONSIBILITIES AND CONDUCT
8.1 Accuracy of Information
The Client warrants that all personal information provided — including, without limitation, full legal name as it appears on government-issued identification, date of birth, passport number and expiry date, contact details, and payment information — is accurate, complete, and current. The Client accepts full responsibility for any loss or expense arising from inaccurate information, including name corrections on airline tickets (which may require ticket reissuance at the Client's expense).
8.2 Conduct During Travel
The Client agrees to comply with all applicable laws, regulations, and supplier policies during travel. Suppliers reserve the right to refuse service, remove passengers from transportation, or exclude guests from accommodations for violations of applicable rules, including conduct that is disruptive, illegal, or threatening. TravelGliders accepts no liability for any costs, losses, or consequences arising from a client’s removal or exclusion by a supplier.
8.3 Baggage and Personal Property
Baggage and personal effects remain the sole responsibility of the Client at all times. TravelGliders accepts no liability for loss, damage, theft, or delay of baggage or personal property. Claims for lost or damaged baggage should be made directly to the relevant carrier or accommodation provider in accordance with their applicable policies.
8.4 Group Bookings
In group bookings (two or more persons traveling together under a single booking reference), the lead Client accepts these Terms on behalf of all members of the group and warrants that they are authorized to do so. The lead Client is jointly and severally responsible for payment of all amounts due for the group booking.

12.2 Binding Arbitration
Any dispute not resolved informally within the thirty (30) day period shall be submitted to binding arbitration administered by the American Arbitration Association (AAA) under its then-current Consumer Arbitration Rules. Arbitration shall be conducted on an individual basis. The Client expressly waives the right to participate in any class action lawsuit or class-wide arbitration against TravelGliders.
12.3 Exceptions to Arbitration

13. GENERAL PROVISIONS
13.1 Entire Agreement
These Terms and Conditions, together with TravelGliders's Privacy Policy and any booking confirmation issued by TravelGliders, constitute the entire agreement between TravelGliders and the Client with respect to the subject matter hereof and supersede all prior representations, negotiations, agreements, and understandings, whether oral or written.
13.2 Severability
If any provision of these Terms is found by a court or arbitrator of competent jurisdiction to be invalid, illegal, or unenforceable, such provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions of these Terms shall continue in full force and effect.
13.3 Waiver
No failure or delay by TravelGliders in exercising any right, power, or remedy under these Terms shall constitute a waiver of that or any other right, power, or remedy. A waiver is only effective if given in writing signed by an authorized representative of TravelGliders.
